Good Archive Practice (GAP):
o The Find A File solution addresses the five essential
elements of GAP:
o Archiving must be SPACE effective.
o Archiving must be COST effective.
o Records must be easily identified, accessed and
RETRIEVED.
o SECURITY must be paramount.
o Documents requiring PURGING are easily identifiable.
Using
the Find A File system will:
o Reduce the office space required to accommodate the
archived records thereby releasing expensive office space.
o Prevent purchase of unnecessary stationery as lever arch
files can be re-cycled.
o Improve retrieval methods and minimize loss of records.
o Ensure staff are able to spend less time searching for
documents and more time on their primary occupation.
o Minimize the security risk as the contents of each box are
referred to by a unique number.
o Record archived records in an electronic register.
o Identify a purge date for documents thereby optimizing use
of space.
